Fall 2025 Early Arrival

Early Arrival Date & Time: Saturday, August 09, 2025 from 8am to 2pm BY APPOINTMENT

• The early arrival application (including appointment selection) will open on the housing portal on July 08 at 10am and close on July 31 at 8pm.

Early Arrival Charge Exemption: Students must apply for Early Arrival whether charges are waived or not. The following students qualify for a waiver for early arrival charges:

• Current summer residents
• Approved groups (campus partners, LLCs) assisting with move-in on August 16
  • Group members must contact group leader (advisor or coach) to make sure their name is on the approved list submitted to Residence Life
• Residents participating in university functions assisting with move-in on August 16
• Residents with ADA Early Arrival accommodations
• International residents
• Student Staff working for Residence Life in some capacity

Early Arrival Rates: 

• Residents who do not qualify for a charge exemption for early arrival will be charged the nightly rate up until August 16 which is the official move-in date and the first date of the academic year contract.
• Charges will be calculated based on number of nights x nightly rate.

Billing: If applicable, students will receive notification via email of the amount of their early arrival charge. This amount will be charged to their account the third week of August

How to Request Early Arrival: The early arrival application will open on the housing portal on July 08 at 10am and close on July 31 at 8PM . Appointments will be required  and must be set through the housing portal starting July 09 at 10am

1. Log in the housing portal with OneTech credentials
2. Select Early Arrival from the menu
3. Complete the early arrival form
4. Select a check in appointment

Check In Instructions: TechID or Picture ID required. 

Step 1. Before arriving to campus:

• • Obtain Tech ID, if you do not have one. A Tech ID allows access to the hall and use of the meal plan. A temporary card will be issued to students who have no Tech ID yet. The temporary card may give students card access but will not allow the use of a meal plan. Follow instructions to obtain Tech ID:
    
    • Log in to OneTech (onetech.atu.edu)  with your username and password.
    • Go to the "Banner Self Service" box located on the OneTech home page.
    • Click on the "Student" folder.
    • Go to the link for "Online Student ID Request Form"
    • Follow the prompts to upload your photo
      
      
  • Fill out Emergency Contact Form in Roompact. Form will be available starting August 5, 2025 at 8am.
    • Log in with OneTech credentials at www.roompact.com
    • Go to Forms
    • Select Emergency Contact Form

Step 2. Go to Doc Bryan SS Building on August 09 from 8am to 2pm

• • At the time of your appointment, go to Doc Bryan Student Services Building 
  • Enter Doc Bryan through O Street entrance (across Tucker Coliseum)

Step 3. Verify Emergency Contact Form

• • Enter Doc Bryan through O Street entrance (across Tucker Coliseum) 
  • For quick and smooth process, complete the Emergency Contact form BEFORE arriving.
    • Form will be available in Roompact on August 5, 2025 at 8am. 
  • If the Emergency Contact form was NOT completed before arrival, proceed to complete it in your phone or one of the computers available in Doc Bryan 180. Then pick up a green pass. 

Step 4. Pick up keys

• • Go to the Residence Life office in Doc Bryan 153  
  • Turn in green pass at the front desk, if applicable 
  • Show Tech ID/Picture ID and QR code 
  • Receive keys 

Step 5. Go to your hall

• • Go to your residence hall 
  • Park in the parking lot 
  • Move in your belongings. You are home! 

Step 6. Complete Room Damage Report and Roommate Agreement 

• • Go to www.roompact.com 
  • Login with OneTech credentials
  • Click on Forms 
    • Select Room Damage Report 
      • Report any preexisting room conditions as soon as you move in.
        • This allows Residence Life to properly assess damages upon check out and prevent unnecessary charges to your account at the end of the year.
      • Select Roommate Agreement
        • Complete this when your roommate arrives to set expectations and boundaries.
  • Complete and submit all forms by August 22, 2025 

Arriving After 2pm on August 09, 2025

• Arriving after hours and weekends: Go to your hall and call RA on duty (number posted on the door).
• Arriving Monday to Friday, 8am to 5:00pm: Go to the Residence Life office in Doc Bryan 153.
• Make sure to verify your emergency contact form, complete the Room Damage Report form and the Roommate Agreement form (see step 6).

Arriving Before August 09, 2025 

• Arriving before August 09 will cause you to incur summer housing charges. Contact housing@atu.edu to check on your case. 
• Charges may apply.

Meal Plans:

• Fall 2025 meal plans start August 16 with lunch. Before that students will be able to purchase meals at the cafeteria.

Spring 2026 Extended Stay (Late Check Out)

Application opens April 01 at 10am and closes April 18 at 11:59pm

Extended Stay Dates: May 08, 2025 at noon until May 11, 2025 at noon.

• All halls with no exception will close on May 08, 2025 at noon.
• In order to remain in room after May 08 at noon, residents must request extended stay.
• Residents may request to stay any length of time between May 08 at noon and May 11 at noon.
• If needing to stay after May 11 at noon, residents must apply for summer housing which requires signing a summer contract.

Extended Stay Rates: Nightly rates apply. Charges will be calculated based on number of nights x nightly rate.

  Extended Stay Charge Exemption: Students must fill out an extended stay form whether charges are waived or not. The following students qualify for a waiver for extended stay: 

  • Graduating students from all halls and apartments. The last graduation ceremony is on May 9th, 2026. Graduates must check out by May 10th, 2026 at noon. Charges will apply after that.  
  • Students participating in university functions (athletics, band, presidential cabinet, etc.) 
  • Student Staff working for Residence Life in some capacity.  
  • Students who have signed a contract for summer housing.  

  Spring Extended Stay to Summer Housing Transition 

  • Thursday, May 07 to Friday, May 08: FROM UC (Bldgs A, B, C, D, E) TO UC Bldg G  
  • Summer key pick up: Thursday, May 07 
  • Spring key return: Friday, May 08 

  *With summer camps and conferences starting May 9 and apartments being cleaned after check-outs, summer residents will move in as spaces become available. Be sure to check your email regularly—you’ll get a message when your new apartment is ready. 

  • Thursday, May 14 to Friday, May 15: FROM all other buildings TO Wilson 
  • Summer key pick up: Thursday, May 14 
  • Spring key return: Friday, May 15 

  Check Out 

  • Residents not staying for summer housing must set up a check-out appointment to have student staff inspect room and take keys 
  • To set up check-out appointment: 
  • Log into the housing portal with OneTech credentials 
  • Go to “Appointments” and set up appointment 
  • Complete and submit

  How to Request Extended Stay: 

  • Log into the housing portal with OneTech credentials 
  • Select “Additional Housing” 
  • Select “Spring 2026 Extended Stay” 
  • Complete and submit 

  Meals: Visit Food Services to check on the winter break schedule for the cafeteria and BazTech and plan accordingly  

winter Break Stay 2025

Winter Break Date & Time: Halls close December 13, 2025 at noon and will reopen on January 10, 2026 at noon.

• The Winter Break application opens November 3rd at 10am and closes December 1st at 8am.

Academic Year 2025-2026 Residents: Residents from ALL HALLS must request extended stay. However, residents of University Commons and Wilson do not have to pay extra fees for extended stay. Charges may apply to all other locations.

Spring 2026-Only Residents: New Spring 2026 Residents of ALL locations wishing to arrive early before official move-in time, must request extended stay accommodations. Nightly rates may apply to all locations.

Extended Stay Options:

• Short Term Stay: Students wishing to extend their stay less than seven days or come back to their room less than seven days prior to the beginning of the January start date would pay the nightly rate of the building in which they live.
• Long Term Stay: Students wishing to extend their stay for more than seven days on either end of the winter break would pay the daily rate for seven days total for the entirety of the winter break period.

How to Request Extended Stay:

• Go to the Housing Portal (click on the button above)
• Login with OneTech username and password
• Select Additional Housing
• Click on Winter Break 2024

Meals: Visit Food Services to check on the winter break schedule for the cafeteria, Baz-Tech, and Doc's Place and plan accordingly.
